Privacy notice

1. What we store
We keep only what the product needs to work:
- Account details: your email and the credentials used to sign in.
- A mobile number, only if you choose to give one. It is optional, blank by default, and used solely to text you about your own lessons — see our SMS terms.
- Academy and roster: your academy, the players in it, and their roles.
- Golf data: the rounds and stats your players log, the strokes-gained results computed from them, plus lesson notes and practice plans coaches create.
- Payment records, if you buy lesson credits in the app: what you bought, the amount, and the reference your coach's payment provider gave the payment. Never a card number — we never receive one.
- Basic operational data: logs needed to keep the service running and secure.
2. How we use it
We use your data to run Golf Labs for you: to authenticate you, compute strokes gained, show a player's data to that player and to the coaches in their academy, and send necessary account and invite email. We do not sell your data and we do not use it for advertising.
3. Who can see a player's data
A player's rounds, stats, notes, and plans are visible to that player and to the coaches of the academy they belong to. They are not shared with other academies or other players.
4. Players under 18
A player under 18 may use Golf Labs with the permission of a parent or guardian. Their coach is responsible for having that permission before coaching them.
When a junior joins, their coach may record a parent or guardian's name and contact details, an emergency contact, and any medical or physical note the family gives them - so that whoever is coaching a child can reach an adult, and knows what they need to know before a lesson starts.
That information is part of the player's record and is treated the same way: visible to the coaches of their academy and to nobody else, never sold and never used for advertising, and removed when the player leaves the academy or deletes their account. Where a coach records whether photos or video are allowed, that answer is kept for the coach to honour; Golf Labs does not itself publish photographs of players.
Emails from Golf Labs go to the address on the player's own account. A guardian's email is stored so their coach can write to them directly - we do not send to it. A mobile number saved on a junior's profile, which is often a parent's, does receive lesson texts once it has been entered and consented to.
A parent or guardian who wants to see what is held about their child, correct it, or have it removed should speak to the child's coach, or email [email protected].
5. Email and text messages
We send transactional messages only: account verification and password reset, player invitations, lesson reminders, and important service notices. There is no marketing email and no marketing SMS.
Text messages go only to a number you entered yourself and ticked the consent box beside. Full details, including how to stop them, are in our SMS terms.
6. Who else handles your data
Running Golf Labs means a small number of other companies handle some of your data. The first three work on our behalf and may only use it to provide their service to us. The fourth is your coach's, not ours:
- Our hosting and database provider, which stores everything described above.
- Our email provider, which delivers the messages in section 4 and therefore sees your email address.
- Our SMS provider, which delivers text messages and therefore sees your mobile number, if you gave one.
- Your coach's payment provider, if your coach has switched card payment on. You enter your card on that provider's own page, so your card number never reaches Golf Labs and we never store it. That provider works for your coach, not for us, and handles your card details under its own terms.
7. Account deletion
You are in control of your data:
- A coach can delete their academy. This removes the academy and its rounds, stats, notes, and plans, and detaches its players. The players' own accounts survive and can be re-invited elsewhere.
- A player can leave an academy (their data in that academy is removed, their account survives) or delete their account entirely (their account and their golf data are removed).
- Deletion is real deletion, not hidden archiving. Copies may persist briefly in encrypted backups before they age out on our normal backup cycle.
8. Data security
Data is stored on managed infrastructure with access limited to what the service requires. No system is perfectly secure, but we take reasonable measures to protect your data and will notify affected users of a material breach as required.
